Knowledge Base

Knowledge Base gives your team a single, governed home for the information they rely on — policies, runbooks, how-tos, onboarding guides — with an approval workflow so nothing goes live until a reviewer signs off, and semantic search so people find answers instead of hunting through folders.

What you get

  • Governed articles. Every article moves through Draft → In Review → Published, with Archived for content that's retired but kept for the record. Authors draft and submit; a reviewer approves before an article is published. Every step is recorded in an immutable history, so you always know who published what and when.
  • Rich content + attachments. Write articles with formatted text, and attach the source files that back them up — PDFs, Word documents, spreadsheets, and more — right on the article.
  • Ask, don't hunt. Published articles and the text inside their attached PDFs and Word documents are indexed for semantic search. Ask the Yoker assistant a question in plain language and it answers from your published knowledge, citing the articles it drew from.

The article workflow

StateWhoWhat it means
DraftAuthorWork in progress. Not searchable.
In ReviewAuthor → ReviewerSubmitted; waiting for a reviewer to approve.
PublishedReviewer approvesLive and searchable by the Yoker assistant.
ArchivedRetired from search, kept for history.

An author submits a draft for review; a reviewer approves it to publish or rejects it back to draft with a reason. Published articles can be revised (sent back to draft to re-enter review) or archived.

Only published articles surface in search — drafts and in-review articles stay private to their authors and reviewers.

Attach files to an article and their text is automatically indexed alongside the article body, so a question can be answered from the content of an attached PDF or Word document, not just the article you wrote around it. Attachments are scanned on upload.

Semantic search is powered by the Yoker assistant. Ask a question from any Knowledge Base page and Yoker retrieves the most relevant published articles and answers with citations.

Getting started

  1. Install Knowledge Base from the Marketplace. It arrives with a handful of sample articles across every workflow state so the board isn't empty.
  2. Create an article: give it a title, write the body, add a category and tags, and attach any source files.
  3. Submit it for review. A teammate with a reviewer role approves it.
  4. Ask the Yoker assistant a question — it answers from your published articles.

Notes

  • Authoring, the approval workflow, and browsing are available on every plan.
  • The Yoker assistant's semantic answers are part of Yoker, available on Enterprise plans or as an add-on.
